Data Protection Complaints Policy

This Data Protection Complaints Policy explains how Kirsty Bowen Photography handles complaints relating to the collection, use, storage, sharing, and protection of personal data across photography services.

It covers concerns about how personal data is collected, used, stored, shared, or protected during photography services and other related work.

4. How to make a complaint

  • Please include:
  • Full name
  • Contact details
  • Clear description of the concern
  • Relevant dates or context

5. How complaints are handled
 All complaints are:
  •     Logged securely
  •     Reviewed by Kirsty Bowen Photography
  •     Investigated based on the information provided

Where needed, further information may be requested to fully understand the issue.

For weddings, family photography and other direct-to-client services, Kirsty Bowen Photography acts as the Data Controller and will investigate the complaint directly.

6. Response times
An acknowledgement will be sent within 7 days.
A full response will be provided within 30 days where possible.
If more time is required, an update will be provided with a revised timeframe.

7. Possible outcomes
After review, outcomes may include:
  •     Confirmation that data has been handled correctly
  •     Correction of inaccurate information
  •     Deletion of personal data where appropriate
  •     Restriction of processing where applicable
  •     Explanation of lawful basis for processing
  •     Updates to internal processes where needed

8. Third party involvement
For weddings, family photography and other direct-to-client services, complaints will normally be handled directly by Kirsty Bowen Photography.

Kirsty Bowen Photography will work with any relevant third parties where necessary to resolve the issue.

9. Escalation
If an individual is not satisfied with the outcome, they have the right to escalate the matter to the Information Commissioner’s Office (ICO).

10. Record keeping
 All complaints are recorded securely, including:
  •  Nature of the complaint
  •  Actions taken
  •  Outcome
  •  Communication history

These records are retained in line with data protection requirements.

11. Policy review
This policy is reviewed periodically and updated where necessary to remain compliant with UK data protection law.
